FULL DESCRIPTION We are seeking a detail-oriented and efficient Administrative Assistant to support our team in managing subcontractor documentation and compliance. The ideal candidate will help verify subcontractor details, assist the R&D Coordinator, and ensure all required documentation is accurately maintained in our systems. This role is essential in keeping our project records current, organized, and compliant.

 

The selected candidate will be responsible for: 

  • Review and record subcontractor information from Vendor Cards in Sage, including:
    • Vendor Number
    • Tax ID
    • Contractor License Number (verify status and validity with the state)
    • Contract Signer's Name
    • Entity Type (e.g., LLC, Corp)
  • Transfer Notice to Contractor (NTC) information to the Subcontract Agreement and save properly.
  • Log all subcontractor/NTC details on the Master Project Log.
  • Follow up with subcontractors for outstanding Docusign signatures and insurance documentation.
  • Occasionally file and upload Certificates of Insurance (COI) from email into Sage.

 

 

The selected candidate will also possess: 

  • Strong attention to detail and accuracy
  • Ability to work efficiently and manage time independently
  • Excel basics
  • Comfortable verifying information using online tools (e.g., state licensing sites) 
  • Excellent communication skills for follow-ups with vendors/subcontractors
  • Experience with Sage (preferred but not required)
  • Prior experience in construction, vendor management, or administrative support
  • Knowledge of subcontractor compliance or document control processes

 

 

Salary Range: $18-$20/hr
